Procurement Coordinator

Job Description

The Procurement Coordinator will work closely with the
BSL Head Office Team and be responsible for supporting the day-to-day
operational procurement activities as per the needs of the organisation,
ensuring purchases are made in a timely, cost-effective and compliant manner.
The role will manage day-to-day tasks without constant supervision within a clearly
governed process framework
developing the core procurement knowledge,
supplier relationships, and process expertise needed for further career
development within the procurement function. This will include:

  • Supporting the maintenance and
    upkeep of the company’s supplier management review and reporting process, as
    guided by the Procurement Lead.

  • Assisting in building and
    maintaining positive working relationships with local Qatari and regional
    subcontractors.

  • Ensuring adherence to the company’s governance,
    processes, and procedures at all times.

Duties and responsibilities
  • Support procurement activities for
    operational requirements, including issuing RFQs/RFPs and raising POs under the
    general guidance of the Procurement Lead.

  • Follow procurement processes and governance
    in accordance with the procurement manual at all times.
  • Liaise with internal stakeholders to
    clarify requirements and with suppliers to ensure timely, accurate delivery,
    resolving day-to-day discrepancies directly and escalating where needed.

  • Assist in supplier evaluation, onboarding,
    and maintenance of the approved supplier list/database, including conducting
    due diligence checks on new suppliers prior to onboarding.
  • Support the Procurement Lead in the tender
    process and in supplier evaluation, onboarding, and database maintenance.

  • Coordinate with finance on invoice or payment
    queries linked to POs and escalate issues or non-compliance promptly
  • Effectively use BSL procurement system to
    process transactions, while identifying and flagging opportunities for system
    or process improvement.

  • Carry out other transactional procurement
    duties as instructed, building the experience and judgment needed for greater
    responsibility within procurement over time.

  • Work flexibly as part of the team, supporting
    workload increases across the function as needed.
Key Accountabilities
  • RFQs/POs
    are issued within agreed timeframes and free from material errors as measured
    against agreed KPIs.
  • Consistent
    adherence to the procurement manual and governance framework with no material
    non-compliance findings in internal reviews or audits.

  • Procurement
    documentation is complete, accurate and maintained in good order at all times.

  • Approved
    supplier list and due diligence records are kept current, complete and
    compliant with onboarding requirements.

  • Internal
    queries and supplier related discrepancies are addressed or escalated within
    agreed response times.

  • Positive,
    sustained working relationships with local Qatari suppliers evidenced by
    supplier feedback and continuity of the supply base.

  • Issues,
    discrepancies or non-compliance are brought to the Procurement Lead’s attention
    promptly and clearly with follow-through until resolved.

  • Meaningful suggestions for process or system
    efficiencies are raised and where adopted, contribute to measurable gains.


Requirements

  • A minimum of two years’ experience in a
    procurement or purchasing
    role.
  • Knowledge of the
    applicable Qatar laws and regulations.

  • Team player with
    a collaborative approach to working with stakeholders across the functions.

  • Strong organizational
    and motivational skills.
  • Ability to work
    under pressure and meet deadlines in a fast-paced environment.
  • Competence in
    the use of IT, spreadsheets, word processing and database management.

  • Must be able to
    coordinate multiple priorities in a dynamic operating environment, working with
    a high degree of autonomy.

  • Additional
    Language skills applicable to the Middle East environment would be highly
    desirable.

Desirable
Bachelor’s degree from a recognized
university, a background in Business Administration, Supply Chain Management,
or a related field is an advantage.
