Role Description:

We have a rare and exciting opportunity for an Executive Assistant to provide exceptional support to senior business leaders in our Central Finance team. In this pivotal role, you’ll manage complex calendars, coordinate meetings and travel, prepare reports and presentations, and ensure the smooth day-to-day operation of a busy executive office.

This role places you at the heart of business operations, partnering closely with senior leaders in a fast-paced, collaborative environment. You’ll bring significant experience supporting executives, exceptional communication and stakeholder management skills, and the ability to anticipate needs, manage competing priorities, and deliver with professionalism, discretion, and attention to detail, helping drive business success and executive effectiveness.

Core Duties:

  • Provide high-level executive support, including diary management and business operations support.
  • Coordinate meetings, events and executive engagements, managing logistics, catering, travel and presentation materials.
  • Prepare reports, presentations, correspondence and briefing materials to support business priorities and decision-making.
  • Manage domestic and international travel, expenses, invoices and purchase requisitions in line with company policies.
  • Build strong relationships and facilitate effective communication between senior leaders, teams and key stakeholders.
  • Support business operations through planning, workflow approvals, reporting and administrative coordination.
  • Coordinate VIP visits and stakeholder engagements, ensuring seamless delivery and a professional experience.
  • Provide collaborative support across the Executive Assistant team, including leave coverage and ad hoc business support.

About You:

  • Previous experience in a similar role supporting Executives.
  • Demonstrated ability to handle confidential information with discretion, professionalism and sound judgement.
  • Strong problem-solving skills, with the ability to anticipate needs and proactively manage issues.
  • Experience managing expenses, invoices, purchase orders and reporting activities.
  • A proactive approach to problem solving and continuous improvement.
  • Strong communication skills and confidence engaging with a variety of stakeholders.
  • A lean in approach and be team orientated.
  • Ability to work both independently and collaboratively, providing support across teams as required.
  • Intermediate proficiency in Microsoft Office, Sharepoint and Concur (Desirable).
  • As a Defence security clearance is required for this role, applicants must be Australian citizens and either possess or be eligible to obtain and maintain appropriate clearances.
